Office Move To-Do List

12o Days Before Move

  • Submit order with Internet Service Provider (ISP) *90-120 days for installation

  • Evaluate the new office for networking and power capability

  • Locate the server room or select a dedicated space that will house your server

  • Send notice to clients that you are moving to a new location

  • Create announcements on all invoices and notifications

  • Design advertising collateral to announce your new location

  • Assess if any equipment needs to be replaced

90 Days Before Move

  • Contact printer/copier company to schedule equipment move

  • Update your answering services with an announcement about your move

  • Order supplies for the move of desks, files, etc.

60 Days Before Move

  • Notify post office/shipping services of the new address change

  • Update or order revised business cards, stationary, and business forms

  • Create new headers with new address

  • Assign office placement, extensions, and phone numbers to employees

  • Designate a manager to send e-Alerts to employees to keep them informed of the move

30 Days Before Move

  • Install new phone lines and equipment

  • Prepare a final walkthrough of office space for any additional IT or networking needs

  • Obtain parking permits, facility identifications, and any other credentials for employees

  • Create new office extension directory

  • Create office map

  • Create new fax cover sheet

  • Update insurance, general liability, worker's comp and any other onboarding processes

  • Schedule an inspection and receive "Certificate of Occupancy" from the city and other pertinent certifications to be compliant

  • Schedule an open house for your new clients

  • Schedule training for any new IT equipment and hardware and software

  • Submit official change of address notice to all active vendors

  • Begin backup process of offsite copies of all critical data

7 Days Before Move

  • Final change on all advertising collateral of address, website, headers, etc.

  • Collect all old keys/cards and distribute new ones

  • Recycle any networking or computer equipment that is no longer used

  • Affirm that utilities and other services at the old office will be turned off and suspended indefinitely

Post Move

  • Contact Internet and Telephone Service Provider to make sure services to prior location have been terminated

  • Setup and test all computer hardware and software

  • Setup and test all networking equipment

  • Update all service agreements

  • Update equipment leases and licenses
